Job Summary
Provides general clerical and administrative assistance to a department.
Essential Functions
• Prepares presentations, composes letters and routine correspondence, and researches information.
• Provides general clerical and administrative assistance to a department.
• Creates and maintains database, department organization charts and spreadsheet files.
• Maintains confidentiality of all corporate, personnel and research matters.
• Process new hire paperwork and on-boarding tasks.
• Performs reception and telephone duties, including signing for front office packages as well as sorting and distributing mail.
• May be required to make meeting and travel arrangements and may conduct training of other support staff.
• Administers office operations or specialized business functions.
• Manages the calendars and schedules appointments.
• Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information.
• Types memos, payment requests and other department forms and documents.
Knowledge/Skills/Abilities
• Skilled in developing effective relationships, communication skills, managing expectations in a fast paced organization.
• Strong interpersonal, organizational, analytical, and communication skills.
• Demonstrates conflict resolution skills in developing recommendations and solutions to solve issues.
• Proficient in Microsoft Excel and PowerPoint system applications.
• Knowledge of office procedures and office practices.
• Strong written and verbal communication skills required.
• Bilingual communication skills (preferred).
Education & Experience
• 2 to 4 or more years of clerical, office and secretarial experience in a mid-to large company.
• 2 years in a corporate environment.
• High school diploma or GED.
• Associate Degree or some college coursework (preferred).
Work Environment/Physical Requirements
Works in an office environment sitting at a desk, table or computer workstation for extended periods of time. May travel by car, plane or other form of transportation to attend business meetings or conferences. Approximately 50-80 percent of the time spent on the job involves the use of a personal computer.
